Clinical Services Coordinator
An individual must be able to successfully perform the essential functions of this position with or without a reasonable accommodation.

+ Responsible for acquiring approval for treatment. Initiates and maintains all Prior Authorization (PA) packets on each patient regarding CHMS and/or RSPMI services as appropriate.

+ + Reviews and submits all PA requests to Value Options (VO) made by the Mental Health Professional.

+ + Manages all AFMC and VO denials and appeals. Responsible for all modifications or extensions to current PAs.

+ + Receives all therapy evaluations and monitors all re-evaluations. Ensures that copies of evaluations are forwarded to parents when completed.

+ + Maintains Evaluation Tracking Form for each CHMS patient and notifies clinical staff of all updated evaluations and meetings.

+ + Review every patient chart every 90 days and fill out required paperwork as directed by company policy (see: Management Policy and Procedures: Patient Chart Reviews). Issues deficiency sheets as needed and ensures that all deficiencies are corrected by the individuals responsible for providing it.

+ Assists in maintaining patient medical records, including but not limited to diagnosis, attachments, and correcting issues with visits.

+ + Develops a MTP for each CHMS patients within two weeks as directed company policy, and every six months thereafter. (see Management Policy & Procedures: Master Treatment Planning)

+ + Assist with compiling information and preparing Outcomes Data as directed by the Clinic Director. Tracks and assists in correcting all deficiencies in Outcomes Data information.

+ + Manages the thinning of all active and discharged patient charts.

+ + Monitors clinic on-hold reports and communicates all PA approvals to the corporate billing office.

+ + Responsible for initiating and managing the discharge process for all patients discharged from clinic services.

+ Responsible for managing storage system for patient medical records.

+ + Responsible for coordinating any progress reports or updates at each facility.

+ + Acts as the privacy officer at each clinic by ensuring confidentiality of each patient and employee. Responds to internal and external requests for information.

+ + Maintains familiarity with requirements set forth by regulatory agencies such as: CHMS, AR Child Care licensing, and AR Health Department. These policies are covered to some extent in staff workshops.

+ + Completes company requirement for annual company trainings.

+ May perform other direct patient care responsibilities as assigned.

May perform other related and not related duties, as assigned as agreed upon by both parties.

+ Must be able to move and/or lift up to 50 pounds.

+ Must be physically able to walk, stand, bend, and stoop for several hours each day.

+ Intermittent physical activity including bending and reaching.
